JOB TITLE: Document Controller ina friendly and hardworkring firm

JOB TYPE: Temporary on-going with potential for permanent opportunity

COMPANY TYPE: Leading Construction Firm

HOURS: 8:30am - 4:30pm, 3 days a week (between Monday-Thurday, No Friday's)

SALARY: Up £30,000 DOE

LOCATION: 2 days Moorgate, 1 day Stratford

* Manage online document control systems (when site/contract requires)
* Manage all site documentation, ensuring they are all filed online as per the file structure and ensure you are always aware which are the latest documents in use
* Manage site samples and their sign off
* Be the client liaison onsite - ensuring the client is fully informed of the status of the project and be confident to speak to many client team members at a time talking them through any disruptions on site
* Support project manager with any tasks that require urgent attention and follow them through to completion
* Be the liaison between the office and the onsite team
* Assist with initial set up and procurement for construction sites (set up site notice board, site office, order stationery, answer phone, ensure all site files are organised and up to date, organise drawing rack)
* Able to assist 2-3 sites administratively
* Assist with compilation of O&M manuals
* Prepare and submit expenses
* Manage site petty cash
* Prepare and set up project meetings, assist with drinks and refreshments
* Ensure all new team members in the team are inducted and understand 21C standards
* Ensure all new team members have up-to-date Health and Safety certificates, organise training if certification is required
* Compile and bind project reports for sites as requested
* Prepare business reports for quarterly meetings
* Organize and coordinate site team/external outings
* Understand the team and provide suggestions on how to make it more efficient
* Attend team meetings, take minutes and ensure actions are followed through
* Produce site set up and administration guide/handbook
* Be responsible for maintaining the site administration procedures in accordance with the Project Quality & Execution Plan.
* Assist the project team in the management and implementation of the document management systems.
* Maintain a comprehensive understanding of the company Health & Safety Policy, in particular, respect to office Health & Safety standards.
* Promote a positive Health & Safety Culture within the office and within the company organisation in general.
* Report to the Project Director any policy improvements they consider necessary.
* Ensure that all office accidents are recorded in the company accident book.
* Ensure that the office environment is kept in a clean and orderly condition.
* Ensure awareness of the emergency procedures which apply to the office - fire procedures in particular.
* Set-up and maintain project filing system in line with 21Construction procedures.
* Control document flow, ensuring that all revision controlled documents are administered and distributed promptly.
* Regularly update Document control system
* Control the project meetings diary and administrate the preparation and distribution of meeting minutes
* General Secretarial duties including assisting with incoming and outgoing mail, arranging meetings, answering incoming phones and document filing.
* Assist with archiving in partnership with the head office administration.
